How to plan a trip with an itinerary
Traveling can be one of the most freeing and fun experiences until you look a little deeper and see that a lot of planning goes into it. Traveling to a new place is exciting, but it can also be tricky. If you do not plan at all, you might waste time feeling lost or deciding what to do next. On the other hand, if you pack every minute with activities, you will end up feeling tired and stressed. The best way to travel is by creating a simple plan called an itinerary. A good itinerary keeps your trip organized while still leaving time for fun and unexpected adventures.
Step 1: start with your big event
The first step in making a great plan is figuring out your main events, or the best parts of the trip. These are the big things you cannot easily change, like flight times, hotel check-ins, or timed tickets. To keep your days smooth, try to schedule only one or two big activities each day. This gives your day a clear structure without making you feel rushed.
Step 2: group activities by location
Next, you should group your activities by where they are located. If you visit places that are close to each other on the same day, you won't waste hours getting to each place. Doing things that are around each other saves your energy and gives you more time to actually enjoy what you are seeing. Planning things that are walkable is always prepared since it's easy transportation and also saves money at the same time.
Step 3: Leave room for surprises
Finally, remember that the best trips always leave room for spontaneous adventures. You should intentionally leave empty blocks of time in your itinerary. These open spots give you the freedom to relax, explore a cool shop you just walked past, or try a fun restaurant recommended by a local. But try to avoid too big of gaps to where you are sitting around doing nothing just waiting for your next big task.you can always fill time with quick stops into shops or grabbing a quick bit to eat.
In the end, an itinerary is just a tool to help you worry less during your vacation. By planning the important details ahead of time, you free up your mind to relax and enjoy the journey.
My experience using an itinerary
My first step before I even make my itinerary is to research all the things I might want to do while in a city. For me I use Tik Tok and Instagram to get my information. Once I get everything I want to do I see what needs a ticket and what will be free to do whenever. Once I have all my tickets bought is when I start making the itinerary.
While I traveled to Boston I had 5 main things planned. But that obviously did not cover my whole day so I would need to plan around it. Everything I had planned around was timed so that is how I started the itinerary. I wrote down the things I knew would not be able to change and went from there.
Quick tip #1 :While buying timed tickets it's also important to remember locations of things you are wanting to see. Get tickets for things that are close to each other so you do not need to spend money on Ubers or taxis. This also helps so you are not coming back to the same place two days when it could have been on trip.
After I write out all my time activities I search the internet for what smaller things there are to do in the area. This can be anything from grabbing a quick bite to eat or roaming around in a shop. This helps keep time moving while you wait for your next big adventure.
Quick tip #2: While booking anything that needs to be timed, it is also important that you see how long something will take to complete and how long it will take to get to the next location. Usually when you book tickets online it should say roughly how long it will take. It's better to give yourself extra time than not enough so you are not rushing around.
Once I had all my timed adventures and small filler plans laid out it was time to decide when I should eat. I've found it best to just preplan dinner. With breakfast you can also grab some at the hotel or just something small on your way out the door. When it comes to lunch I find getting something quick in the gaps is easiest.
When it comes to making dinner reservations at a restaurant it's best to make this one of your last activities since it hard to tell how long you will take to leave the restaurant.
Now I'm not saying once you eat you have to go back to the hotel but do not plan a lot after you eat. This is also just in case you feel sick after you eat so you are not locked into a commitment you can not get out of.
Most times when you buy tickets online it tells you how much in advance you can cancel and refund the tickets so make sure you check that before deciding you will not go somewhere.
How to use your itinerary while out and about
When I write my itineraries I start with paper because it allows for me to see everything and erase if plans do not what how I thought they would. Having a plan on paper is great to start, but using it smoothly during your actual trip takes a little practice. Here are some tips to keep your day running smoothly:
Keep it handy: keep your schedule easily accessible on your phone or printed on a piece of paper so you do not have to dig through your bag every time you need to see what's next.
Check it out the night before: take a quick look at the next day's plan before you go to sleep. Knowing what time you need to wake up and see where you are heading first helps you get your day started without stress.
Watch the clock: use your itinerary as a helpful guide not a strict boss. This is why it's important to have filler within your day just in case you are having a good time and want to stay somewhere longer, you can use your filler time.
Be flexible: if you get tired or weather is not going your way, give yourself time to skip a small stop. An itinerary is just a tool to keep you organized so you can enjoy more.
How to make itinerary
There are many good ways to store your itinerary. Within your notes app is quick and simple so you can check off or delete where you have been.
Many websites also allow you to make your own. My favorite way is with Canva. They have plenty of good templates you can pick and choose from. All you need to do is start editing with all your activities.
Whether you keep a physical or digital itinerary it will be there to help keep your travels easy and smooth.
